Welcome to Pay By Link

Pay By Link allows you to quickly create payment links that your customers can use to pay their bills. The links you send will direct customers to a secure payment page that is branded in line with your organisations branding.

You can access Pay By Link via the  Payments Hub with an email address and a password.  Users will require a suitable web browser such as:

·        Edge

·        Chrome

·        Firefox

·        Safari

Most standard Windows and Mac computers come with one of the above browsers installed but please note that Internet Explorer is no longer supported.

Welcome to the Pay By Link landing page, here you will be able to create and send payment links, view the history and status of sent links, and see a percentage of how many links have been paid.

How to Create New Links

Enter the Details

To create a new link for a customer to access, use the data entry boxes in the Create New Links box, at the top of the page, to identify the customer and how much you would like them to pay.

Firstly, use the slider to select whether you would like to identify your customer with their Payment Reference Number (PRN) or their Client Reference Number (CRN).

Use the box to the right to enter either the PRN or CRN. If you have selected to use the CRN, you will also need to use the drop-down menu to select the Client Code. If you have opted for non-validated branded gateway, you will also have a checkbox Create a non-validated payment link, this is useful if the customer doesn’t have an account for this payment link.

Next, enter the name of the link recipient, and the amount that they are required to pay in the following boxes. The maximum single payment for a link is set at a default amount of £4000. This can be configured according to the needs of your organisation and therefore if you would like this amount changed please speak with your Client Development Manager.

Finally, you’ll need to enter a mobile number, and/or an email address (depending on the delivery method selected). You can select the delivery method on the right-hand side of the screen with the segmented button – SMS, Email or select both.

When all the required fields are populated, select Add to add the request to your pending requests. Pending requests are stored per user and no other user will be able to see them.


Submit a Pending Request

Below the Create New Links section you will find a list of pending requests which include the details that were entered, and whether this link will be delivered via SMS, email or both.

To send a link, check the box(es) to the left of the request line, then select Send links. You also have the option to Delete links to remove links from your pending requests.

Providing you have the correct permissions; you will also have the option to select Download Links which will download a .csv file containing all the data entered. This can be used if you would like to send the links via your own messaging platform.

Once a link has been sent (or generated with Download Links) it will expire within 30 days. If a link expires but the payment is still required, you can create another link as outlined in Create new link with similar details

Creating the Upload File

Upload Files is a functionality which allows you to create multiple links for multiple customers by uploading a .csv or xls file containing the information required.

The first row should be ignored, and the headers left for reference. A template for this can be found in the Help Centre here


Uploading the File

Once you have prepared your file, use Upload Links at the top of the page. A window will appear, so either drag the .csv or .xls straight into the window, or select Browse to bring up your file explorer, find the .csv or .xls and click Open


Uploaded Files

Now your links will appear in your pending links, check the box on the right and select Send Links to proceed, as described in Submit a Pending Request.

Any errors detected in the upload will appear in a red box above other pending requests titled These Pay by Link records could not be created and will provide details as to why these could not be created. Please see below for further details

Active & Paid links

Here you will find a list of recently generated links. Filters can be applied at the top of each field, or by selecting the Paid links, Sent links or Most recent options.

With the status field you can identify the status of the link and whether the customer has interacted with it.

  • Link Downloaded means the link and details have been downloaded into a CSV file but the Customer has not interacted with it. Remember you will need to distribute a downloaded link through alternative means
  • Link sent means the link has been sent to the customer, but they have not interacted with it.
  • Link opened means that the customer has opened the link but has not used it to make a payment.
  • Paid means the customer has opened the link and used it to make a payment
  • Partial means the customer has opened the link and make a payment of less than the requested amount*
  • Expired means this link is more than 30 days old and has now expired

You can also select View Full Details to move to a page which contains a list of all sent payment links, this page includes extra information including the user who sent the link.

*Once a link is in the Partial status it will display the amount actually paid. A new link will need to be created for this Customer to make a further payment

Need to resend a link? Left click a row in the Active & Paid Links to bring up further information about the link. Select Resend link at the bottom of this window to send a new identical link via the same delivery method and details.

This will not appear as a new link in the list or maintain a separate status to the original link.


Want to send a new link with the same or similar details? Select Create new link for [Customer Name] to prepopulate the Create New Links area at the top with the same details as the original link. Edit the details as required and then submit the request as outlined in Enter the Details.

User Permissions

When you access User Permissions on the Payments Hub, you can modify access and permission for elements of Pay By Link.

There are 3 permissions for Pay By Link:

Link Creator allows users to create payment links and send them to customers.

Link Uploader allows users to upload a file to create links in bulk for multiple customers at a time.

Link Downloader allows users to  download the links that have been created into.csv format.

Note: If a user has no permissions enabled for Pay By Link, they will not be able to access the Pay By Link features.
